Missed‑call text‑back

A missed call is not a lost call unless you let it go quiet. Missed-call text-back sends the caller a text within seconds of the phone going unanswered, asks what they need, and hands your team a qualified lead instead of a number with no context. It is the single cheapest thing most home-service businesses can do to stop losing work they already paid to generate.

  1. Missed call triggers an automatic SMS
  2. Customer chooses service + urgency
  3. Lead is logged and routed to your pipeline
  4. Your team gets a notification with context
  5. Customer receives a booking link or callback window

What happens in the first sixty seconds

  1. 0–10 seconds. The call ends unanswered. A text goes out to that number before the caller has finished deciding who to try next. It names your company, says you saw the missed call, and asks one question.
  2. 10–60 seconds. They reply. The answer is captured against the lead — what the problem is, how urgent it is, the address if you ask for it.
  3. Within the minute. Your team gets a notification with the answers already attached, and the lead is in your pipeline rather than in a call log nobody reads.
  4. Next. Depending on how you set it up, the caller gets a booking link or a callback window. A person takes it from there.

The window is the entire point. Research on lead response has said the same thing for years: the first business to make contact wins a disproportionate share of the work. You do not have to be the best-reviewed company in Hampton Roads to win the job. You have to be the one who answered.

What the customer actually receives

Short, plain, and obviously from a real business. Something close to:

“Hi — this is [your company]. Sorry we missed your call. What’s going on, and how soon do you need someone? We’ll get right back to you.”

The wording is yours and we tune it with you. What it never does is pretend to be a person, promise a time nobody has agreed to, or trap the caller in a menu. It buys back the ninety seconds it takes someone in your office to pick the lead up.

What it is worth

Do this with your own figures rather than ours. As an illustration only: fifteen missed calls a month, a $450 average ticket, and closing 40% of the ones you actually reach comes to roughly $2,700 a month — from calls that were already coming in. Nothing here is a guarantee, and the number moves a lot by trade and season. The reason we lead with it is that most owners have never counted their missed calls at all, and the count is usually worse than the guess.

Two things make it cheaper than it sounds: your phone number does not change, and neither does how your team works. The automation sits behind what you already have.

What stays human

The text-back acknowledges and asks. It does not quote a price, commit to an arrival time, or close the job. Anything that binds you waits for a person to approve it. That gate is built into how we build, and it is not something we can quietly remove later — it is the difference between a system that protects your reputation and one that spends it.

What you need for it to work

  • A business number that can send texts. Most can. If yours cannot, we set up a number that forwards to your existing line so nothing about your published number changes.
  • Somewhere for leads to land. Your CRM if you have one, a shared inbox or a simple tracked list if you do not. We do not require you to buy software.
  • One person who owns follow-up. The automation removes the delay, not the conversation.

Common questions

How fast does the text actually go out?

Seconds, not minutes. It is triggered by the missed call itself rather than by a batch job, which is what makes it worth doing — a text that arrives ten minutes later reaches someone who has already booked with a competitor.

Is this compliant? I do not want to get in trouble for texting people.

You are replying to someone who just called you, which is the most defensible messaging there is. We still configure opt-out handling and keep the records, because doing it properly costs nothing and doing it casually is how businesses get into difficulty.

What if the caller does not reply to the text?

The lead is still logged with the number and the time, so you can call back knowing they tried you. Today that call is usually invisible.

Will it text people I already know, or wrong numbers?

Known contacts and repeat callers can be excluded, and obvious non-mobile numbers are filtered. These rules are yours to set.

Do I have to change my phone system?

Almost never. We work with what you have. If a change genuinely is required we tell you before the project starts, with the cost, rather than discovering it halfway through.

How long until it is live?

This is usually a matter of days, not weeks. It is the most common first project we do, precisely because it is quick, fixed-price, and pays for itself out of calls you are already missing.

Fixed price, and you own it. Built in your accounts, documented, and yours to keep. No retainer and no monthly fee to us for access to your own workflow.
